Contract Executive Assistant (Part-Time / Remote)

The National Council of Agricultural Employers (NCAE) is the only national association focusing exclusively on agricultural labor issues from the employer’s viewpoint. We represent the interests of growers, associations, and others whose business revolves around labor-intensive agriculture.

We are seeking a proactive and dependable Contract Executive Assistant to provide high-level support in a primarily remote capacity. This role offers the unique opportunity to grow into a full-time position.


The Role

This position supports a small business based in Washington, DC (relocating in July 2026). You will provide flexible, ongoing support with periodic workload increases tied to two major annual event cycles.

Workload Expectations:

  • Hours: Approximately 15-20 hours per week ongoing.

  • Surge Periods: Increased hours during event cycles (September – February).

  • Onsite Support: Mandatory in-person attendance at two onsite events.

  • Availability: Flexible scheduling, though responsiveness during standard business hours is preferred.


Key Responsibilities

  • Communication & Operations: Handle membership communication, email triage, and follow-up coordination.

  • Event & Project Management: Coordinate vendor logistics, manage webinars, and track project administrative follow-through.

  • Digital Maintenance: Manage website updates and maintain CRM/database records.

  • Financial & Admin: Perform bookkeeping, invoice tracking, light notetaking, and proofreading/editing.

  • Executive Support: Manage calendars, scheduling, travel arrangements, and detailed itineraries.


Qualifications

  • Experience: Prior executive assistant or senior administrative support experience.

  • Technical Savvy: Proficiency with AI Tools (Copilot, Gemini, Claude, etc.) and common business software (Microsoft Office, Google Workspace, Zoom, WordPress).

  • Financial Tools: Proficiency with QuickBooks and Bill.com.

  • Soft Skills: Strong organizational and communication skills with the ability to manage competing priorities independently.


Compensation & Terms

  • Rate: $35–$40 per hour, based on experience.

  • Structure: Retainer structure preferred.

  • Travel: Travel expenses for required onsite events will be reimbursed.

  • Classification: This is a 1099 Independent Contractor position.
